Heads up: This guide applies only to stores using the latest COGS version (Version 2).
By default, TrueProfit applies your latest COGS to new orders only. Past orders stay unchanged and keep their current COGS until you choose to recalculate them.
This prevents your historical profit from changing unexpectedly. When you need to correct past data, you can choose which products and date range to update.
When should I recalculate COGS for past orders?
Recalculate COGS when you've updated a product's cost and want that change to apply to past orders, not just new ones. For example, you may need to recalculate after you:
Correct an incorrect Cost Per Unit
Add a cost that was missing
Update a supplier price
Change Bundle Costs
Add or remove a COGS zone
Add or remove products from an existing COGS zone
Products may also need recalculation when their COGS is automatically updated through an integration. Without recalculating, past orders keep their current COGS, so reports such as Orders Report, Dashboard, and P&L may continue to show profit based on those existing costs.
How to recalculate COGS for past orders
1. Update your COGS
From the left navigation, go to the Cost of Goods page, and edit the cost of any product or variant. When you save a change that requires recalculation, TrueProfit may show this banner:
"COGS updates saved. They apply to upcoming orders only — to include past orders, Recalculate COGS for past orders"
Your updated COGS is already being used for new orders. Past orders remain unchanged until you recalculate them.
If a product's COGS is automatically updated through an integration, it can still appear in the recalculation list even if the banner isn't shown.
2. Open Recalculate
You can open the recalculation window in either of these ways:
Click the recalculation banner after saving your changes.
Click Recalculate COGS at the top of the Cost of Goods page.
The Recalculate COGS button is always available, even when the banner isn't shown.
If there are no products with COGS updates waiting to be applied to past orders, you'll see:
No products with COGS updates yet
Update COGS in Cost of Goods, then recalculate past orders here.
3. Choose which products to update
The list shows products with COGS updates that haven't been applied to past orders yet. Products with the most recent updates appear first, and none are selected by default.
Select the products you want to recalculate. To select all products, use the checkbox next to "{x} selected".
You can also use the search field to find a product. Search only looks through products that currently need recalculation, not your entire product catalog. If only a variant's COGS changed, its parent product appears in the list.
A product may not appear if:
It has no COGS update waiting to be recalculated.
Its latest COGS has already been applied to past orders.
It is currently being processed in another recalculation.
4. Choose which orders to update
Under Set effective date, choose how far back the latest COGS should apply.
All time (selected by default): updates every past order for the products you picked, no matter when they were placed.
Custom date range: updates only orders placed within the date range you choose. Both From and To default to today, and future dates can't be selected.
5. Click "Recalculate"
After selecting at least one product and a valid date range, click Recalculate. TrueProfit immediately starts updating the selected products for the order period you chose.
The recalculation uses the COGS settings that are current when you click "Recalculate". If no product is selected, TrueProfit shows: Select at least one product to recalculate.
6. Track progress and check the result
Once you click Recalculate, the window stays open so you can track progress in Report Update Progress. For each recalculation, you'll see how many products are being processed, the percentage completed, and the estimated time remaining.
Products being recalculated are removed from the list while they're processing, so they can't be included in another recalculation at the same time. You can still start another recalculation for different products.
You can close the window at any time. Recalculation continues in the background, and you can reopen the window or check Data Sync Status to see the latest progress.
When all recalculations are complete, click See Orders Report to review your updated COGS and profit.
Which orders won't be overwritten?
TrueProfit protects COGS that has already been manually set or synced directly to an order.
If an order contains COGS that was:
Manually edited in Orders Report, or
Synced directly to that order from a connected dropshipping or print-on-demand platform
TrueProfit skips the entire order during recalculation. This means that if an order contains both manually edited or synced COGS and COGS calculated by TrueProfit, no COGS in that order is overwritten.
This protection applies to COGS stored on individual orders. Product or variant COGS updated through an integration can still make that product eligible for recalculation.
Once recalculation is complete, go to Orders Report to review the updated COGS and profit for the orders that were recalculated.
Troubleshooting
What happens if some products fail to recalculate?
A failed product doesn't stop the rest of the recalculation. Products that finish successfully stay updated. Products that fail aren't updated and return to the product list after the recalculation finishes.
TrueProfit doesn't automatically retry failed products. To try again:
Select the failed products again
Choose the same date range as the previous recalculation
Click Recalculate
You can also click Contact support if you need help. Failed recalculations remain visible in Report Update Progress for up to 24 hours.
